Privacy Policy
How Oakscroft Partner Network collects, uses and protects your information.
Table of Contents
1. Introduction
This Privacy Policy explains how Oakscroft Partner Network (“we”, “us”) processes personal data when you use the affiliate portal at affiliate.oakscroft.org.
We only describe practices that relate to the Partner Network portal as operated today: account management, referral tracking, commissions, wallet withdrawals, marketing materials, campaigns, notifications, help content, and internal support messaging.
2. Information We Collect
We collect information you provide, information generated by your use of the Portal, and technical data required to run a secure affiliate system.
| Category | Examples |
|---|---|
| Identity | Full name, email, phone, affiliate code, approval status |
| Profile | State, district, social links, occupation, bio |
| Payout | Bank account details, IFSC, UPI ID, PAN (if provided) |
| Programme | Referral links, clicks, orders attributed, commissions, withdrawals |
| Technical | Session data, IP address (security/logs), browser push token (if enabled) |
| Communications | Support Chat messages and attachments you send |
3. Personal Information
Personal information includes your name, login identity, affiliate identifiers, and profile fields you submit. We use this to identify your account, review applications, and operate the programme.
4. Contact Details
Email and phone numbers are used for account access, security notices, and programme communication (including in-app notifications). WhatsApp or social handles you add to Profile are used as you provided them for partner context—not sold as marketing lists to third parties by the Portal.
5. Payment Details
Bank and UPI details stored in your Profile are used only to process approved withdrawal requests after your available wallet balance meets the programme minimum and an administrator processes payout.
6. Referral Tracking
When a visitor uses your referral or campaign link, the system records attribution data so eligible purchases can be associated with your affiliate account. Tracking may use cookies or similar identifiers for approximately 30 days (configurable by Oakscroft), along with server-side conversion records from the store integration.
Clicks do not guarantee orders. Only successfully completed eligible purchases create commission records under programme rules.
7. Cookies
The Portal uses cookies and similar technologies for authentication sessions, security (including CSRF protection), optional theme preference storage in the browser, referral attribution, and (if you enable them) browser push notification device tokens. See the Cookie Policy for detail.
8. Analytics
Approved affiliates can view analytics inside the Portal related to their own performance (such as clicks and related programme metrics shown in the dashboard). Administrators use aggregate and account-level reports to operate commissions, fraud review, and programme health.
We do not claim use of external advertising analytics networks unless separately disclosed.
9. Device Information
We may process device or browser-related data such as user agent strings in security logs, and optional notification tokens when you enable browser push notifications on a device.
10. How Information Is Used
- Create and secure your affiliate account;
- Approve, reject, suspend, or reinstate accounts;
- Attribute referrals and calculate commissions under campaign rules;
- Review commissions and process withdrawal requests;
- Deliver marketing kit resources and campaign information;
- Send in-app and (if enabled) browser notifications;
- Provide Support Chat assistance;
- Detect fraud, abuse, and policy violations;
- Meet legal, audit, and accounting obligations.
11. How Information Is Stored
Account, programme, and financial workflow data are stored in Oakscroft’s application database and related server storage (for example uploaded marketing files and support attachments). Hosting and backups are managed as part of normal production operations.
12. Security Measures
We apply reasonable technical and organisational measures appropriate to an affiliate portal, including password hashing, session controls, CSRF protection on state-changing requests, access control by role, and audit logging for sensitive administrative actions.
No method of transmission or storage is completely secure; residual risk remains.
13. Data Sharing
We may share data with:
- Oakscroft administrators and authorised staff operating the programme;
- Payment processors or banks as needed to complete approved withdrawals;
- Infrastructure or identity providers required to run authentication or hosting;
- Authorities when required by law or to protect rights and safety.
We do not sell your personal information as a product.
14. Legal Compliance
We process personal data to perform the affiliate relationship, operate the Portal, pursue legitimate interests (security, fraud prevention, programme integrity), and comply with legal duties.
15. User Rights
Subject to applicable law, you may request to:
- Access or correct certain profile information (much of this is available in Profile);
- Update payment details used for withdrawals;
- Ask questions about processing via Support Chat;
- Withdraw optional browser notification permission in your browser settings.
Some records (for example commission and payout history) may be retained for audit even if promotional access ends.
16. Data Retention
We retain account and transaction-related records for as long as needed to run the programme, resolve disputes, prevent fraud, and meet legal or accounting requirements. Soft-deleted support messages may remain in secure storage for audit purposes.
17. Contact
Privacy questions about the Partner Network may be raised through Support Chat in the Portal or using the support contacts listed in Help & FAQ.
